This Privacy Policy explains how Kode Digital Sdn Bhd (202201015405 (1461102-X)) collects, uses, discloses, stores, and protects personal data when you register for or use KunosF&B. KunosF&B is a cloud-based food and beverage business management platform.

By providing personal data to us or using KunosF&B, you acknowledge that your personal data will be processed as described in this Privacy Policy and in accordance with applicable Malaysian law.

Depending on the features you use, we may collect:

• Account and contact information - names, email addresses, telephone numbers, usernames, encrypted passwords, roles, permissions, and tenant or outlet assignments
• Company and billing information - company details, registration and tax information, billing addresses, subscription records, invoices, payment status, transaction references, and payment method information supplied by a payment provider
• Workforce information - staff profiles, employment details, attendance, rosters, availability, leave, payroll, and outlet assignments
• Business and operational information - products, recipes, inventory, suppliers, purchase and delivery records, sales, end-of-day reports, wastage, expenses, and related business records
• Technical and security information - IP address, browser or device information, login and session records, timestamps, security events, cookies, and similar technologies
• Communications - support requests, notification preferences, email and WhatsApp contact details, and messages relating to the service

If you enter personal data about employees, customers, suppliers, or other individuals, you are responsible for having the authority to provide that data and for giving any notices required by law.

• Directly from you when you register, update your profile, contact us, or use the platform
• From your company administrator or authorised users who create or manage records in KunosF&B
• Automatically from your browser, device, login session, and use of the platform
• From payment, communications, identity, tax, or other service providers used to deliver requested features

We process personal data to:

• Create and administer accounts, tenants, outlets, permissions, and subscriptions
• Provide inventory, sales, workforce, billing, reporting, notification, and other KunosF&B functions
• Process invoices and payments and maintain financial and tax records
• Authenticate users, protect accounts, investigate suspicious activity, and maintain platform security
• Send service notices, password resets, invoices, support messages, and notifications selected by you or your administrator
• Provide support, diagnose problems, monitor performance, and improve the platform
• Comply with legal, regulatory, accounting, audit, and enforcement obligations
• Establish, exercise, or defend legal claims

We may disclose personal data only where reasonably necessary to:

• Authorised users within your company, subject to their roles and permissions
• Hosting, database, email, queue, payment, messaging, analytics, backup, and technical service providers acting for us
• Government, tax, regulatory, law-enforcement, judicial, or professional advisers where required or permitted by law
• A purchaser, investor, or successor in connection with a genuine corporate transaction, subject to appropriate confidentiality protections

We do not sell personal data. Payment providers process payment credentials under their own privacy terms; KunosF&B generally receives transaction status and reference information rather than complete card or bank credentials.

Some service providers may process or store personal data outside Malaysia. Where this occurs, we will take reasonable steps to ensure that the transfer is permitted under applicable law and that the data receives an appropriate level of protection.

We use reasonable administrative, technical, and organisational safeguards designed to protect personal data against loss, misuse, unauthorised access, disclosure, alteration, or destruction. These may include access controls, authentication, encryption in transit, logging, backups, and staff or service-provider confidentiality controls.

No online service or storage method is completely secure. You must keep your credentials confidential, use appropriate access permissions, and notify us promptly if you suspect unauthorised access.

We retain personal data for as long as reasonably necessary to provide KunosF&B, maintain security and business records, meet legal, tax, accounting, and regulatory obligations, resolve disputes, and enforce agreements. When data is no longer required, we may securely delete or anonymise it.

Before a subscription ends, the tenant should export any data it needs. Some records may remain in backups or be retained where required by law, even after account access is removed.

KunosF&B may use cookies, local storage, and similar technologies to maintain sessions, remember language or display preferences, support security, and operate essential platform features. Disabling essential technologies may prevent parts of the service from working correctly.

Subject to applicable Malaysian law, you may request access to or correction of your personal data, ask questions about its processing, or withdraw consent where processing relies on consent. We may need to verify your identity and may refuse or limit a request where permitted by law.

You can update certain information and notification preferences in KunosF&B. Withdrawing required information or consent may affect our ability to provide some or all of the service. If your account is managed by your employer or company, please contact its administrator first for records controlled by that organisation.

KunosF&B is a business service and is not intended for individuals under 18 years of age. Organisations using the platform are responsible for ensuring that their users are authorised to use it.

We may update this Privacy Policy to reflect changes to KunosF&B, our practices, or legal requirements. The revised policy will show a new effective date. Where a change is material, we will take reasonable steps to notify affected users.
